AstuteStayCloud runs every part of a property from one secure, multi-hotel cloud portal. Owners sign up their hotel in minutes, invite staff with role-based access, and manage bookings, check-ins, folios and reports in real time.

Hotels can white-label the product with their own logo, colours and invoice / e-mail branding.

Set up your hotel in five minutes

1. Open the portal and choose Sign up to register your hotel. Verify your e-mail with the 6-digit code.
2. You land in your new hotel as Hotel Admin — a starter building, floor, departments, store, restaurant and rate plan are created for you.
3. Open Control panel to set your hotel name, logo, colours, taxes (GST/VAT), currency and check-in/out times.
4. Add room types (base fare, extra adult / child fares, amenities, photos) and then your rooms.
5. Invite your team under Users and give each person a role such as Front Desk, Housekeeping or Accountant.

Reservations

• Create multi-room, multi-guest bookings; pricing is calculated live (season → plan → occupancy → discount → tax).
• Use the calendar to drag a stay to another room or date, resize it to change nights, or click an empty cell to book.
• Record deposits and the booking source (OTA, walk-in, corporate…). Cancel or mark no-show from the booking.

Front desk, check-in and check-out

• The Front desk board lists arrivals, departures, in-house guests, late check-outs and pending payments.
• Check-in verifies the guest, captures ID and photo, assigns a clean room, collects a deposit and prints the registration card.
• Check-out shows the itemised bill, supports split payments and refunds and issues the invoice (PDF / print / e-mail).

Frequently asked questions

Can one account manage several hotels?

Yes. Owners can add more properties with Add hotel and switch between them from the top bar. Each hotel also gets its own sign-in link (/h/HOTELCODE).

Can staff sign in without a password?

Yes — staff can request a one-time code by e-mail. Codes expire after 10 minutes.

Is my data separated from other hotels?

Yes. The active hotel and its data are resolved per request, and roles control exactly what each user can open.
